Roles

Potential Volunteer Positions:

Sponsor Coordinator/Committee

Ideally this person (or more than one person) has dealt with sponsorships/fundraising before, but we may not find someone who has before. This person needs to be able to work with sponsors, collects logos, collect/track money, manage sponsor budgets, manage sponsor communications, etc. This person/people need to be very responsible! Ideally, we don’t handle any cash and sponsors pick up the tab for specific things like food and supplies.

T-Shirt Coordinator/Committee

Once we have a sponsor for shirts, we will need to carefully orchestrate the planning and delivery of the shirts. The shirts will have the PhotoCamp Austin logo (not yet created), whatever tagline we want that goes with that, and then all of the sponsor logos (on the back?). This person will be responsible for making sure no sponsors are left off inadvertantly and will work with the design person to make everything look good. This person will have to make sure the shirts are ordered, proofed, and arrive in time for the event.

Exhibitor Coordinator/Committee

Ideally, we will have plenty of goodies for attendees to look at and play with. Camera equipment, printed items, digital software and products, etc. All the cool stuff we see online or at the store, but in a setting where we can really test stuff out in person, get friends’ opinions, etc. There’s no better way to decide to buy! We need someone who can work with vendors who want to be at the event to make sure they have whatever they need (tables, chairs, power cords, etc.), find out what they will be showing off, and also provide a list of vendors so we can give them exposure to everyone.

Back Channel Coordinator/Committee

We need someone to coordinate making sure the back channel is properly presented and integrated during the day. They should make sure everyone knows the twitter hash tag (through announcements and/or posted signs), how to tag on flickr, and all that. If we can live stream any of the content/sessions, they should make that happen. Any extra exposure that we can get for sponsors is great!

Tech Coordinator/Committee

We need someone to manage the tech side of things. This includes wifi, and computer networking, projection, etc. I’m sure we will have plenty of people available that day to help, but we need one person who will oversee. This role will become much clearer when we have a venue, know the meeting spaces, know the equipment, etc.

Food Coordinator/Committee

With any good luck, we will be able to provide a full meal and snacks/coffee for attendees thanks to some generous sponsors. We need a volunteer to make sure to coordinate this part of the event – finalize head counts, menus (make sure vegetarians have options), serving times, clean up, and other logistics.

Volunteer Coordinator/Committee

Set-Up Crew

A group of people to arrive early to help set up, tape down extension cords, make sure things are working, etc.

Day of Event Crew

A group of people to support activities during the day, from registration to making sure equipment is in the right place to answering questions to cleaning up (much of which can be done as we go)

Clean-Up Crew

Not a glamorous role, but totally necessary to make sure we leave the venue as we found it. (3-5 volunteers to make sure everything is picked up and do final walk-throughs) Also, this crew would make sure that all materials are gathered, equipment is packed up, and so on.
